4.2 Purchasing and Stocking
Many
dental supplies (e.g., filling materials, impression materials, local
anesthetics) have a finite shelf life. Track the rate of use of these
items so that the clinic doesn’t run out of critical supplies
and to ensure that the items do not remain unused beyond their expiration
dates. Inventory monitoring is essential. The lack of critical supplies
can bring clinic operations to a halt. Be aware of any supplies that
are sensitive to extreme temperatures (e.g., local anesthetic), and
store them appropriately.
If the clinic is located in close proximity to other clinics, a cooperative
purchasing agreement may be worth considering. Buying large quantities
may make it possible to obtain better prices. Having the clinic administrator
or dental director meet with manufacturers and suppliers at state or
regional meetings is one way to secure discounted prices or donations.
Always let vendors know if your clinic is a volunteer (charity) or nonprofit
organization.
